PSA - Staffing Coordinator

Basic Function
Provides administrative support to the Director of Staffing and Staffing Division. Assists the Staffing Representatives with job fairs, postings, interviews, testing, and new hire orientation. Responsible for various reports; creating and maintaining applicant new hire reports and related charts and graphs. Performs duties in a safe, efficient manner and in compliance with all applicable rules and safety procedures.
Responsibilities and Specific Duties
- This is a temporary PSA job assignment not to exceed six (6) months in duration or $25,000 in total hourly wages during the six (6) month period.
- Responsible for general office duties such as mail distribution, routine correspondence, phones, office supplies. Coordinates staff meetings creates meeting agenda and responsible for meeting notes. Responsible for P-card use and tracking; closes P- card statement and transaction logs. Responsible for Metro Money Card maintenance and distribution; assign cards to temporary employees as authorized. Arranges travel for applicants and Staffing personnel and assists with preparation of expense reports and conference registrations.
- Reviews Staffing budget and provides periodic updates on status.
- Receives billing invoices, compiles data to support payments, processes invoices, processes user requisitions and check requests according to Procurement guidelines.
- Assists applicants with online application process; how to apply, responds to inquiries from applicants; research and verify status of applications, resolves systems issues. Coordinates with METRO’s Information Technology department and the Applicant Tracking System vendor to troubleshoot and resolve applicant issues and revisions.
- Supports recruiting functions and Staffing Representatives as assigned (i.e. job fairs, open houses, coordinating panel interviews). Assists with candidate pre-employment processing to include background checks, scheduling physical exam, fingerprint processing and drug and alcohol testing as necessary. Administers applicant skills tests as required such as computer skills, typing, Bus Operator testing, etc.
- Opens and closes job requisitions and enters resumes and applications in the applicant tracking system and assists with compiling the weekly Personnel Requisition folder.
- Coordinates various phases of candidate on-boarding program and new hire orientation. Assures that inventory level of new hire packages and New Hire Orientation materials are maintained. Prepares and sends New Hire Orientation list to stakeholders. Assures new hire paperwork is completed including DOT records for new hires and DOT requests for safety sensitive positions where required.
- Obtains data from SAP HCM and Applicant Tracking System (NEOGOV) and creates/provides various reports and charts on new hire activities. May identify trends and variances in reports.
- Responsible for overseeing the maintenance and organization of staffing files and promotional supplies and Records Management retention and purging of records as required.
- Provides back-up coverage for Staffing reception area, Executive Assistant to the Chief Human Resources Officer and for Staffing Representatives as required; conducts standard interviews as assigned.
- Provides excellent customer service to METRO internal and external customers.
- Applies SMS methods and principles in their daily routine and supports all aspects of the agency’s Public Transportation Agency Safety Plan (PTASP).
- Promotes safety awareness and follows safety procedures to reduce or eliminate accidents.
- Performs other job-related duties as assigned.
Education Requirement
High school diploma or GED is required. Associates degree in Human Resources preferred.
Years & Experience Required
Minimum four (4) years’ experience in an administrative and support function. Work experience in Human Resources and/or a Staffing or similar environment is preferred. Software/system experience with SharePoint, SAP HCM, and Success Factors or other applicant tracking system preferred.
Knowledge & Skills Required
Excellent communications skills (written and verbal). Strong administrative skills and excellent customer service skills. Experience with PC’s and Microsoft Office in Excel, Word, Power Point and Outlook and keyboarding skills. General working knowledge of applicant tracking and HR Information System (HRIS).
