Mailroom Assistant

Basic Function
The Mailroom Assistant will be responsible for processing, sorting, and distributing all large mailout from various departments, including incoming and outgoing daily mail, packages, and internal and external documents within the Metropolitan Transit Authority and surrounding facilities. Ensures timely delivery of mail such as Certified, Insured, and Registered to and from various departments, tracking packages, maintaining records, and providing high-quality service to internal and external stakeholders. Responsible for picking up Lost & Found items, including bikes, at each facility. Verifies and unloads all incoming and outgoing shipments and deliveries through loading dock. Performs duties in a safe, efficient manner and in compliance with all applicable rules and safety procedures.
Responsibilities and Specific Duties
- Assists customers at the service window answering inquiries regarding mail services, delivery statues, postage, and mailing requirements.
- Collects incoming mail, packages, and other deliveries from the Post Office; sorts them based on departments, recipients, or other categories.
- Signs for certified, insured, and registered mail from Post Office daily.
- Uses PC and email to identify personnel and locations for mail delivery.
- Notifies employees through email of overnight/express packages being delivered for rapid pickup.
- Picks up and delivers mail, packages, and Lost & Found items, including bikes and other documents and cargo, from the Central mailroom to various facilities within the organization in a timely and efficient manner.
- Operates and monitors Metropolitan Transit Authority x-ray machine inspecting and unloading incoming packages and shipments verifying their contents while following established security & safety procedures through loading dock.
- Reviews and processes same day and hand deliveries by contacting courier through computer tracking system and provides instructions for timely delivery.
- Uses, operates, and maintains equipment such as postage meters, scanners, label printers, and sorting machinery.
- Maintains and tracks various logs for hand delivery, certified, insured, registered mail, UPS, FedEx, and parcel mail; may prepare reports on mailroom activities.
- Sorts, seals, weighs, and meters all first class, certified, and overnight mail for delivery to Post Office daily.
- Ensures outgoing mail is correctly addressed, packaged, and labeled.
- Gathers, packages, labels, and secures outgoing shipments according to delivery requirements, ensuring they are ready for pickup by carriers.
- Revises and maintains divisional mail slot assign at 1900 Main and METRO facilities.
- Maintains and restocks mailroom supplies like envelopes, labels, stamps, and packaging materials
- Provides excellent customer service to METRO internal and external customers.
- Applies SMS (Safety Management System) methods and principles in daily routine and supports all aspects of the agency’s Public Transportation Agency Safety Plan (PTASP).
- Promotes safety awareness and follows safety procedures to reduce or eliminate accidents.
- Performs other job-related duties as assigned.
Education Requirement
High school diploma or GED is required.
Years & Experience Required
Minimum one (1) year related work experience in one or more of the following areas: mailroom, customer service, material tracking/handling, deliveries, sorting and distribution. Minimum two (2) years driving experience is required with driver’s education and/or defensive driving preferred.
Knowledge & Skills Required
Basic knowledge of postal procedures and related equipment. Basic working knowledge of PC’s and related software. Microsoft Office or similar software. A valid Texas Drivers’ License is required and must meet METRO’s requirements regarding motor vehicle records.

Salary Range: $37,200 - $46,900
