Basic Function
Provides administrative support to the Human Resources Project Manager and daily operations assistance to the Human Resources divisions: Benefits/Pension & Wellness, Compensation, EEO & Employee Relations, HRIS, Labor Relations, Organization Development and CHRO. Discretionary handling of confidential information is a critical aspect of this job. Performs duties in a safe, efficient manner and in compliance with all applicable rules and safety procedures.
Responsibilities and Specific Duties
- Responsible for general office duties such as mail distribution, routine correspondence, phones, calendar management, special project requests, assists with preparation of expense reports, inventory and ordering of standard and specialty office supplies.
- Directs callers/visitors to appropriate person, responds to routine inquiries, coordinates meeting space preparation for various meetings; biweekly, quarterly departmental meetings and creates meeting agenda, copies, etc.
- Assists with compiling data and reports, preparing spreadsheets, presentations and related distributions.
- Supports the Human Resources Project Manager with a variety of duties; organizing and developing division operating budget, weekly division reports, compiles documentation for unemployment claims and projects as assigned.
- Assists Human Resources with responsibilities including, but not limited to, the following:
- Special events, such as diversity programs, and benefits/wellness activities
- Filing documents in personnel files and record retention
- Assist Compensation staff with administrative support as needed.
- Job bid/awards and other related processes.
- Assist the Organization Development department with various administrative duties related to preparation of class presentations, intern projects, tracking training, room set up, etc.
- Acts as backup to Human Resources Communications Specialist as needed.
- Provides excellent customer service to METRO internal and external customers.
- Applies SMS (Safety Management System) methods and principles in daily routine and supports all aspects of the agency’s Public Transportation Agency Safety Plan (PTASP).
- Promotes safety awareness and follows safety procedures to reduce or eliminate accidents.
- Performs other job-related duties as assigned.
Education Requirement
High school diploma or GED required. Associate degree in Business or Human Resources is preferred.
Years & Experience Required
Minimum of four (4) years’ experience in an administrative and support function. Work experience in Human Resources preferred. SharePoint or SAP experience is preferred.
Knowledge & Skills Required
Excellent Communications skills (written and verbal). Strong administrative, organizational, and customer service skills. Proficient with PC and Microsoft Office in Excel, Word, Power Point and Outlook. General working knowledge of Human Resources-related functions. Ability to maintain confidentiality of sensitive information and/or data. Accurate typing/data entry skills.
