Basic Function

Provides support to the Facilities Maintenance Management by coordinating workflow, projects, work requests, work orders, manpower positions and special events.  Assist in the development, preparation and tracking of capital and operating budgets and processing Vendors’ invoices. Assists the Facilities Managers in preparing all monthly operational reports.  Performs duties in a safe, efficient manner and in compliance with all applicable rules and safety procedures.

Responsibilities and Specific Duties

  • Responsible for producing Monthly, Quarterly and Annual Operating Power Point Reports, including collecting Operating KPIs and sustainability reports.
  • Responsible for maintaining all Reports audit-ready, electronically and in binders.
  • Researches and prepares special reports for various projects.
  • Assists in the preparation, development, and monitoring of the Facilities Maintenance operating and capital budget and processing vendors’ invoices. Assists in the preparation of future budgets
  • Prepares Key Performance Indicators (KPIs). Provides monthly status reports for the Facilities Maintenance Operations Summary. Tracks utilities consumption and costs.
  • Tracks work request and work order performance. Provides information on the status of work requested, and percentage of work completed.
  • Tracks and reports on Preventive Maintenance items (PMs) completion by facility.
  • Prepares reports out of work order system (SAP).
  • Updates and tracks manpower positions.
  • Coordinates workflow/special projects with the staff and assures completion of projects.
  • Assist with processing service requests using a Computerized Maintenance Management System (CMMS).
  • Promotes safety awareness and other employee safety procedures in efforts to reduce or eliminate accidents
  • Performs other job-related duties as assigned.

Education Requirement

High School Diploma or GED.  Associates Degree in Business or related field preferred.

Years & Experience Required

Minimum of five (5) years of related experience to include accounting processes, statistics and trend analysis.  Experience in a maintenance environment preferred. 

Knowledge & Skills Required

Knowledge of maintenance terminology and PC skills to include Microsoft Office, Excel and Access or similar database software. Advanced in Power Point.
