Executive Assistant (Asst Chief)

Basic Function
Provides intermediate and some advanced administrative duties for Assistant Chief of Police and staff. Performs duties in a safe, efficient manner and in compliance with applicable rules and safety procedures.
Responsibilities and Specific Duties
- May compose correspondence, memos, letters, and reports.
- Answers phones, screens telephone calls and takes messages. Directs callers to appropriate person or provides information to routine inquiries.
- Receives and directs visitors.
- Maintains calendar, coordinates and schedules appointments and meetings.
- Opens; sorts and prioritizes mail.
- Processes and maintains general office requests.
- Maintains general and division personnel files and records, according to METRO’s file retention program.
- Handles inventory and ordering of all standard and specialty office supplies.
- Handles travel arrangements and expense reports for Director.
- Maintains expense report files.
- Assists in organizing, and compiling facts and figures used to develop division operating budget; and tracks and maintains operating budget, has some responsibility for developing or administering a budget.
- Provides excellent customer service to METRO internal and external customers.
- Applies SMS (Safety Management System) methods and principles in daily routine and supports all aspects of the agency’s Public Transportation Agency Safety Plan (PTASP).
- Promotes safety awareness and follows safety procedures to reduce or eliminate accidents.
- Performs other job-related duties as assigned.
Pay Range: $45,000 - $56,700
Education Requirement
High school diploma or G.E.D required.
Years & Experience Required
Minimum three (3) years progressive administrative support experience.
Knowledge & Skills Required
Working knowledge of Word and Excel (Microsoft Office). Good organizational skills. Excellent verbal and written communication skills. Ability to maintain confidentiality of sensitive information and/or data. Accurate typing skills: typing 60-65 wpm preferred.
