Basic Function

Verifies that project documents progress on a predetermined path and that any change to that path receives the proper level of technical review and management approval.  Responsible for validation and report generation using Oracle Primavera Contract Management.  Utilizing high level technical skills to receive, distribute, file, track, scan and input large volumes of documentation into an electronic database expeditiously, with emphases on quality and consistency. Promotes safety awareness and follows safety procedures in an effort to reduce or eliminate accidents.

Responsibilities and Specific Duties
  • Responsible for data entry, validation and report generation using Oracle Primavera Contract Management. Distributes, tracks and stores information.
  • Ensures documents entered into the database are accurate and control and track numbers are assigned. 
  • Distribute the daily correspondence received to lead reviewers and delivers electronically and hard copies METRO correspondence to the contractors, regulatory agencies and 3rd parties.
  • Ensures that all documentation is properly distributed and that documents requested are responded to in a timely manner.
  • Produce weekly, and monthly status reports tracking all activities of the Document Control Center including all contract documents and records processed.
  • Tracks and follows-up on letters, submittals, drawings, change management documents.
  • Produces “Yellow and Red Flag Report” for tracking overdue correspondence.
  • Maintain and control of quality records and applications.
  • Assist in conducting internal audits.
  • Ensure the latest revision of all documentation is available at all times (i.e.: current revision of manuals, policies, procedures and drawings).
  • Maintain and create users accounts and access to Primavera Expedition.
  • Ensures that Capital Programs and MRE staff and other managerial staff receive prompt and accurate responses to project communication.
  • Assist providing documentation assistance to the legal in help of resolving legal claims
  • Maintain and assist with computer database and web-based files as requested.
  • Conduct QA/QC inspection on documentation received in the Document Control Center and identify any discrepancies within the documentation
  • Promotes safety awareness and follows safety procedures in an effort to reduce or eliminate accidents.
  • Performs other job-related duties as assigned.
     
Education Requirement

Minimum two years college and/or Associates Degree

Years & Experience Required

Minimum of five (5) years of knowledge and direct experience with engineering documentation and the document management process.  High proficiency with Primavera Expedition or similar documentation software and Microsoft Office Suite; Excellent communication and teamwork skills are a must.   Familiarity with MicroStation and AutoCAD desirable.  Knowledge of working in public sector.  

Knowledge & Skills Required

Excellent communication (written/verbal) and organizational skills.  Strong knowledge of engineering/construction practices, processes and terminology. Knowledge of FTA Regulations and Guidelines and Internal/External Auditing a plus
