Basic Function

Provides overall program support to the Communications/Public Engagement department.  Coordinates and manages administrative and program support activities for department programs and external engagement and initiatives.  Discretionary handling of confidential information is a critical aspect of the job.  Performs duties in a safe, efficient manner and in compliance with all applicable rules and safety procedures. 

Responsibilities and Specific Duties

  • Collaborates with the Public Engagement team to plan, implement and execute community events and activities to increase awareness about METRO projects and services and expand participation on public engagement opportunities. 
  • Coordinates transit education programs for community and non-profit organizations, customer awareness campaigns, transportation fairs for businesses and community groups, facility/rail tours for community organizations, special events and ridership promotions.
  • Responsible for the planning, coordination, and implementation of the agency’s Adopt-A-Stop/Shelter Program.  Activities include recruiting new participants, new participant orientation, coordinating monthly correspondence and mail outs, database management, coordinating with Facilities Maintenance and serving as the agency’s primary point of contact for the program. 
  • Coordinates and provides field support for community based “sector” activities, meetings, and logistical support for public engagement programs.
  • Supervises all activities associated with the agency contract “Street Team” including coordinating and scheduling task assignments, work hours, new hire training and documenting staff feedback on customer engagement initiatives.
  • Manages the agency’s facility use process by coordinating department approvals, executing facility use agreements and coordinating insurance requirement submittals.  
  • Provides planning and field support for special events such as groundbreaking and ribbon cutting ceremonies, which includes maintaining guest lists, preparing information packets, coordinating division resources, and all logistical coordination.
  • Conducts field coordination for community activities and ridership promotions as well as meeting and logistical support for Public Engagement programs.
  • Provides inventory management of promotional items and collateral materials including maintaining records of items in inventory and on order and/or reprint.
  • Arranges METRO related travel and prepares expense reports for the Public Engagement department.
  • Monitors METRO’s Public Engagement hotline requests for METRO participation at community events, RSVPs for METRO sponsored events and/or requests for special accommodations needed at meetings.
  • Prepares and coordinates division monthly reporting and quarterly scorecard measurement.      
  • Provides excellent customer service to METRO internal and external customers.
  • Promotes safety awareness and follows safety procedures to reduce or eliminate accidents.
  • Performs other job-related duties as assigned.

Education Requirement

High school diploma or GED is required.

Years & Experience Required

Minimum six (6) years of administrative support experience.  Experience to include coordinating, planning and executing special events and activities. Experience managing budgets and inventory is preferred.

Knowledge & Skills Required

Excellent communications (written/verbal) and interpersonal skills.  Strong organizational and planning skills.   Must be proficient in Microsoft office suite (Word, Excel and PowerPoint).   Certified Administrative Professional (CAP) is preferred.
