Audit Coordinator

Basic Function
Serves as the primary support to the Vice President/Chief Auditor and department leadership (Managers and Deputy Chief). Provides advanced, diversified, and confidential administrative support duties and responsibilities. Performs duties in a safe, efficient manner and in compliance with all applicable rules and safety procedures.
Responsibilities and Specific Duties
• Coordinates the planning of all activities for the Vice President/Chief Auditor. Manages calendar, plans and schedules meetings, travel itineraries, and coordinates related arrangements.
• Coordinates and provides staff support for weekly, monthly and special meetings called by the Vice President/Chief Auditor to track day to day operations, overall agency performance measures and special projects.
• Coordinates follow-through and tracking of multiple projects and provides periodic status reports as required.
• Performs initial quality reviews of all audit work papers. Ensures audit work papers include all standard requirements for GAGAS.
• Verifies cost and price calculations for contract audits.
• Maintains and updates department authorized approval list on METRO intranet. Communicates updated authorized approval lists to Manager, Accounts Payable.
• Responsible for reviewing a high volume of Audit Reports throughout the year and ensures all reports are reviewed for standard formatting, grammatical errors and quality control.
• Prepares documents for account expenditures and determines expense allocations in compliance with METRO’s policy. Ensures accuracy and proper documentation of staff expense reports in compliance with METRO’s policy. Makes copies of materials, correspondence, and reports as needed.
• Updates and maintains Audit department intranet page.
• Compiles and prepares travel and administrative account reports in compliance with METRO’s policy.
• Manages and prepares routine correspondence, memos, letters, and reports. Initiates routine and some non-routine correspondence, memoranda, departmental forms, etc. Establishes, monitors, and follows-up on suspense items requiring approval.
• Answers and screens telephone calls and resolves routine or redirects complex inquiries.
• Maintains office filings/records system according to METRO’s file retention program.
• Maintains lines of communication and supports the interaction and flow of business between the VP/Chief Auditor and Executive Office and extensive array of government, community, industry and business relationships external to METRO.
• Interacts with various levels of management including Board members and provides appropriate support assistance to the Director Board Relations.
• Maintains office supply inventory and initiates requisitions for standard and non-standard items.
• Maintains department’s procedures and guidelines.
• Updates Audit department manual as required.
• Provides excellent customer service to METRO internal and external customers.
• Applies SMS methods and principles in their daily routine and supports all aspects of the agency’s Public Transportation Agency Safety Plan (PTASP).
• Promotes safety awareness and follows safety procedures to reduce or eliminate accidents.
• Performs other job-related duties as assigned.
Education Requirement
High school diploma or G.E.D. is required. Additional specialized/technical training, and/or college courses preferred.
Years & Experience Required
Minimum eight (8) or more years executive administrative support experience. Experience to include increasingly responsible administrative and office management experience. Experience in a corporate environment is preferred.
Knowledge & Skills Required
Working knowledge of Microsoft Office; Word, Excel and Power Point. Excellent verbal and written communications skills. Strong decision making and organizational skills. Certified Professional Secretary (CPS) designation desired. Accurate typing skills. Typing 60-65 wpm preferred.
